*OFFICE MANAGER JOB POSTING* *MYROVER-REESE FELLOWSHIP HOMES, INC* JOB PURPOSE The purpose of the Office Manager is to ensure the offices of Myrover Reese Fellowship Homes, Inc.
are running effectively on a day-to-day basis.
Overall, the Office Manager is the central point of contact and must be a skilled communicator, an effective leader, and a detail-oriented problem solver, with an ability to organize and manage people and tasks effectively.
JOB DUTIES AND RESPONSIBILITIES * Maintain office supplies inventory and place orders when required * Work with the cook to order groceries and supplies for the kitchen * Handle incoming mail and shipment * Coordinate with house supervisor, implement in-services and education calendar for staff * Schedules meetings and maintains a Master Calendar of events, training and meetings * Tracks all employees time off including vacation, sick, continuing education, etc.
, making sure all appropriate completed paperwork is turned into payroll as required * Receive calls and take messages – responding to residents/customers enquiries and complaints * Prepare and submit weekly billing to state and federal agencies * Manage online and paper filing systems (medical records) * Record office expenditures * Ensure that data protection laws are adhered to in relation to storage of data, OSHA and HIPAA * Make DAILY deposits to bank * Complete Food Stamp Application * Daily census for each house * Review audit checklists with house supervisor, counselor and director to ensure compliance, at least monthly with a written summary of all areas out of compliance to the director and board of directors * Maintain employees personnel files * Ensure that employees are following agencies policies and procedures, standards, regulations, laws, statutes, and rules.
* Manage social media postings * Maintain the appearance and condition of the office and arrange for necessary repairs * Manage petty cash * Submit payroll, bills, and expenditures to the accountant * Review yearly, policies and procedures and make recommendations to the director *REQUIRED QUALIFICATIONS* * High school diploma or GED.
PREFERRED QUALIFICATIONS * Preferred an associate or bachelor’s degree.
* Experience in an administrative role.
Preferred working as an office assistant for three to five years NECESSARY QUALIFICATIONS * Good interpersonal and time management skill * Strong written and verbal communication skills * Organization and the ability to multitask * Flexibility to adjust to new tasks * Strong interpersonal skills * Attention to details * Reliability and discretion in confidential matters * Use a range of software, spreadsheets, and databases, to ensure the effective running of the office REPORTING STRUCTURE The Office Manager will report directly to the Executive Director and as needed to the Board of Directors.
WORK HOURS The work hours are typically 8 to 5, 40 hours a week.
On occasion, the employee may need to work an evening or weekend to help with a special program or the yearly anniversary program.
*ABOUT MYROVER-REESE* Myrover-Reese Fellowship Homes, Inc.
(MRFH) is a non-profit 501(c)(3) corporation formed in 1961 to provide drug and alcohol treatment services to members of our community.
Myrover-Reese provides supervised recovery housing in three licensed 24-hour facilities.
The primary goal of these services is the rehabilitation of individuals who have substance use disorder with close to half of all cases being opioid dependency.
